Allow your whole company domain, or a single address for the estimator who still uses a personal inbox. Everyone else is refused at the door, before an account exists.

Your own identity provider

Add SAML or OIDC from Settings → SSO and the sign-in page offers it. Offboard a rep where you offboard everyone else, and the CRM follows.

Signing in is what connects the mail

The same Google or Microsoft account reads the crew's inbox and calendar, so a homeowner's reply lands on their job without a second connection to set up.
